The Role
We’re looking for a highly organized, sharp, and reliable Executive Assistant to the Director of Security to support our Director of Security. This isn’t your average admin role – this is a hands-on, high-stakes, and fast-paced position at the heart of our security operations. You will be the right hand of a seasoned professional who works closely with international authorities, corporate clients, and internal departments to retrieve stolen vehicles.
This role demands someone who thrives under pressure, is proactive, and can handle multiple responsibilities at once without losing sight of the details. You’ll need to be available during working hours and ready to step in, speak up, and help out whenever and wherever needed.
Responsibilities
- Provide daily administrative support to the Director of Security, including scheduling, document management, and coordination of communications
- Act as the primary point of contact for incoming calls, emails, and messages -filtering, prioritizing, and responding where appropriate
- Support field operations remotely by coordinating logistics, following up with authorities, and managing documentation
- Organize and track case files, ensuring nothing falls through the cracks
- Communicate professionally with law enforcement, rental/leasing companies, and internal departments across various countries
- Take initiative to resolve administrative and operational issues before they escalate
About You
- Exceptionally organized with an ability to prioritize and manage several ongoing tasks at once
- Strong communicator - confident on the phone, clear in writing, and able to handle sensitive conversations professionally
- A quick thinker and problem-solver - calm under pressure and ready to pivot at a moment’s notice
- Discreet, trustworthy, and dependable - able to handle confidential information with care
- A team player with a strong sense of ownership and initiative
- Willing to be fully available during working hours to support the Director as needed
Preferred (but not required)
- Bachelor’s degree - demonstrates strong writing and critical thinking skills
- Knowledge of legal systems or procedures - especially relating to law enforcement or vehicle recovery - is a plus
